About the Opportunity:  OPERATIONS AND FINANCE ASSOCIATE

 

Raw Art Works is seeking a well-rounded Operations and Finance Associate (OFA) to join the team.  The OFA is a generalist with knowledge in the areas of office management, human resource administration, operational systems, and activities including technology, finance processes, and potential oversight of intern or assistant. Reporting to the Deputy Director, the OFA will be a valued thought partner and a champion of RAW’s mission and culture.

Roles and Responsibilities

 

General Operations:

  • Carries out general office tasks such as typing, answering phones, data entry, copying, mail processes, direct and/or answer RAW correspondence and information requests.
  • Partners with the Deputy Director to write, edit/revise, and train COVID-19 safety protocols for staff, youth participants and visitors.
  • Accountable for upkeep and updates of vendor list, including demographic information to track level of women- and BIPOC-owned vendors utilized by RAW.
  • Key liaison to office related vendors including maintenance, repairs, and other facility- associated vendors.
  • Ensures proper maintenance and repairs of company owned van/vehicle(s).
  • Manages inventory and purchase of supplies for office and other common areas.
  • Provides assistance to individuals across teams, as needed.
  • Contributes to a safe, supportive, and inclusive environment for internal and external parties.
  • Develops and maintains professional, informed working relationships with staff, participants, community members, and relevant stakeholders.
  • Attends project, team, and full-staff meetings, as scheduled.

 

HR:

  • Assists on review and edit of employment-related documents, policies, procedures.
  • Owns employment performance review timelines.
  • Once approved, activates job postings online and through other distribution channels.
  • Ensures information collection and appropriate notifications regarding safety improvements, incident reports, worker’s compensation payroll audit, claims, and reporting.
  • Assists in planning and scheduling staff or team/professional development opportunities and trainings.

 

Finance Operations:

  • Ensures streamlined financial operations as it regards bank deposits, entering and processing payables and receivables, tracking credit card expenses, and gift entry.
  • Generates and summarizes financial and/or other operations-related data reports.
  • Assists and researches items related to budget development for annual operating and capital budgets, and grant proposal-related budgets.
  • Supports annual audit process.

 

 

Technology:

  • Supports efforts to provide effective technology and office infrastructure solutions are in place and updated.
  • Upholds smooth functioning of all communication systems, including phone, email, and website functionality.
  • Maintains individual workstations.
  • Serves as liaison to IT services.
  • Assists in long-term IT research and planning.
  • Researches and recommends applications, hardware, and other technology-related solutions

 

Other:

  • Completes assignments regarding special projects, such as strategic planning and office/space planning.

The Operations and Finance Associate will be a professional who has strong skills in both written and oral communications, with internal staff, teams, and external constituents.  This person will have a growth mindset, regularly seeking out opportunities to expand skills and approach projects with a readiness for innovation.  The OFA understands the importance of data, collects and analyzes data and can use the insights and implications of data to guide their work. A key competency will be the ability to deal with uncertainty, ready to proceed nimbly to changing circumstances and challenges.  The ability to employ strategic thinking to the function of this position helps the Operations and Finance Associate to respond proactively, make informed decisions, and elevate the overall practice of the organization.

Qualifications and Experience

 

Qualified applicants must have a Bachelor’s in Business Administration, Operations Management, Finance, Management, or related field, OR a minimum of three years of experience in an office environment, with a record of success, preferably in the nonprofit space, with proven experience as follows:

  • A demonstrated commitment to the values of diversity, equity, inclusion, belonging and justice.
  • Successful experience managing internal systems and processes.
  • A high level of emotional intelligence (self-awareness, empathy, and social skills). They will have the ability to work independently, as well as in teams, prioritize projects and tasks, multi-task, and participate as an effective team member. 

Possesses strong project management and problem-solving skills.

Fluency in English, with additional languages (Spanish, Khmer) a plus.

Compensation and Benefits

The salary range for this position is targeted at $45,000-$52,000, based on the candidate’s relevant experience. This range falls within our established salary bands for this position.
