Full-Time Administration/Operations Finance/Accounting

Job Description

In alignment with our intended growth, YES has hired several new positions to accomplish our 2020-24 Strategic Plan, and just launched a capital campaign and architectural plan to expand our recently purchased home base in Richmond. To support this expansion, YES is seeking an enthusiastic, mission-driven, and financially savvy Director of Finance & Operations to join our team. The ideal candidate is a highly collaborative, experienced, and confident leader charged with overseeing a team of staff and contractors to identify and implement operational, administrative, information technology, and finance solutions across the agency. This person approaches their responsibilities with rigor, precision, and a strong connection and commitment to place-based work and racial equity.

As a member of the organizational leadership team, the Director of Finance & Operations will help shape YES’s present and future—contributing to strategic decision making now while helping to shape our internal growth in alignment with our values and strategic plan goals. The Director works across departments and thrives when directing and developing people and strong teams. In addition to being a passionate advocate for equitable access to the outdoors, the ideal candidate possesses strong financial skills and an aptitude for numbers. They will be responsible for overseeing bookkeeping, creating and maintaining budgets, and managing tools to track financial reporting for institutional and public funders. They will also play a key leadership role in overseeing YES’s growth and retention from a 15 to 20 person organization. The Director of Finance & Operations is a strategic and systems thinker who demonstrates the ability to think about and execute small details while having a vision for a larger picture and the strategies it will take to achieve it relative to our expenses, revenue, and personnel. This is a full-time, exempt position supervising the HR Manager and contracted roles including YES’s accounting firm and IT consultant. The position works both on and off site, and reports to the Executive Director. 


Accounting & Financial Management (50%) - oversees financial resources, budgets, and expenditures to ensure that YES’s departments and teams are well-equipped to make values-driven decisions.

  • Working alongside the accounting firm, ensures smooth and accurate financial processes including weekly review of expense payments, preparing checks for deposit, and annual audit preparation.
  • Ensures the timeliness and accuracy of all transactions and compliance to GAAP principles and serves as a steward of strong internal controls.
  • Oversees the development of organizational and departmental budgets and regular reporting procedures for revenue, expenses, DRNA schedules, and effort allocations.
  • Collaborates with the grants team to create budgets, as well as financial reporting and tracking tools for foundation and government grants. 
  • Supports the Board of Directors’ finance and audit committees in conducting their responsibilities on behalf of the organization. 
  • Manages relationships with financial vendors including banks, credit card, bill pay, and accounting and investment management firms. 
  • Conducts financial analysis of operations expenditures and management processes to facilitate more efficient and effective use of resources agency-wide and within departments.
  • Predicts future financial needs and develops long-term business plans based on trends.

Operations Management (40%) - Leads the development and implementation of effective information technology and data systems to support all finance, human resources, fundraising and operations functions to keep YES running smoothly. 

  • Directly manages HR Manager to ensure that personnel needs are met with regard to recruitment, hiring, retention, and performance evaluation. 
  • Directly oversees IT consultant to ensure software, hardware, and cybersecurity needs are met.
  • Ensures an organized and smooth-running office environment by managing supplies and equipment; telecommunication and alarm systems, and outside vendors / contractors. 
  • Alongside the E.D., oversees the renovation and addition of the YES building and landscaping project, including management of the architect and general contractor, and sources and uses budget.
  • Identifies operational system needs including database updates or changes (Salesforce); delegates and oversees implementation. 
  • Leads annual insurance renewal process, oversees government reporting and organizational legal compliance.

Risk Management (5%) -  Assesses and mitigates potential harms to the organization. 

  • Collaboratively designs and recommends risk management policies and procedures, including insurance policies, and recommends system changes as necessary.
  • Oversees the implementation of risk-management protocols, policies, and insurance including but not limited to digital security, COVID-19 protocols, and any other risks to physical or reputational wellbeing across the organization.

Organizational Leadership (5%)

  • Contributes to strategic decision making while helping to shape our internal growth in alignment with our values and strategic plan goals. 
  • Oversees the promotion of an agency culture that reflects the values of YES.
  • Plays a key leadership role in overseeing YES’s growth from a 15-20 person organization.
  • Works with the Board of Directors finance committee and groups like the Equity, Inclusion, and Diversity committee task force, to inform and implement policies and procedures that sustain an organizational culture of inclusion and belonging. 

Fundraising related responsibilities

  • Supports 1-2 fundraising events annually with event preparation, set-up, clean-up, and/or staffing during the event. 
  • Contributes content, such as stories and anecdotes, to communications and fundraising efforts including the annual report, eNewsletters, direct mail, etc.

Hiring Organization

  • BA/BS degree in related field and 4+ years experience in finance, administration, and operations with a minimum of 2 years serving in a management role within the nonprofit sector.
  • Demonstrated comfort and fluency with Excel, GoogleSuite, Quickbooks and/or Xero. 
  • Ability to practice discretion and sound judgment with financial and personnel information. 
  • Significant experience recruiting, hiring, and supervising staff in a way that acknowledges differences in power and privilege, and uses a strengths-based approach to recognize staff’s gifts, promotes their confidence, supports their growth, and motivates them to uphold values and quality standards.
  • Commitment to a personal and professional exploration of power and privilege, including a willingness to self-reflect and experience discomfort in difficult and transformative conversations about race equity.
  • Demonstrated ability to consistently make accurate and clear assessments about a constantly changing organizational landscape with foresight and an ability to determine impactful next steps.
  • Successful track record as a collaborative leader who excels in managing multiple projects and deadlines, and is comfortable working both independently and in a team in a fast-paced work environment. 
  • Diplomatic and professional approach to problem solving. 
  • Outstanding organization and attention to detail. 
  • A growth-mentality; unafraid to shift and grow within an ever-changing landscape.
  • Exceptional skill for technical problem solving. Proficient with Salesforce or a similar database / CRM is a plus.
  • Available to work both on and off site and access worksite with reliable transportation.

This is a full-time, exempt position working both in-person and remotely in accordance with the organization’s current hybrid work schedule. *The salary range for this position is $82,500-$92,500.
