The Senior Operations Manager is responsible for managing various operational functions for the Foundation and must have working knowledge of grantmaking practices with financial and non-profit operational acumen. The Senior Operations Manager will lead two direct reports that will work closely with the Foundation’s Technical Systems Manager. A solid history of collaboration within and among teams is a must, as well as demonstrating initiative and resourcefulness.This position has two direct reports.


This position works closely and collaboratively with all other Foundation functions, as well as with Internet Society’s Accounting, Legal, IT, and Human Resources functions.  They ensure operational processes, procedures, and systems properly support a lean yet effective team and the Foundation’s evolution. 


The incumbent must handle confidential matters with discretion and balance. They will provide direct service to internal and external stakeholders and will apply a strategic lens in establishing operations and procedures using the Foundation’s systems.

Essential Duties and Responsibilities

  • Strive for the Foundation’s operational excellence.
  • Continually assess efficiency and effectiveness of operational processes (e.g., collecting feedback from internal and external stakeholders) and make improvements as necessary.
  • Employs change management methodologies to support operationalizing new processes.
  • Employs strategic tools to develop and assess options, ensure logical reasoning, and challenge assumptions.
  • Prioritize responsibilities for at direct reports.
  • Establish guidelines, tools, and best practices for data collection, management, analysis, and sharing for the Monitoring, Evaluation, and Learning team and other functional areas, in close collaboration with the Technical Systems Manager.
  • Streamline the application and reporting processes as is possible and introduce new methods for applying & reporting.
  • Identify, make recommendations for, and implement practical methods to incorporate a DEIJ-centered approach to our processes that aim to eliminate barriers to equity. Apply an equity lens to how we engage with our various stakeholder groups.
  • Develop, inform, and implement Operational and Grants Management-related processes around new developments, plans and strategic re-direction, documenting processes as a resource for staff and developing special conditions and requirements for individual grants, as needed.
  • Act as lead liaison with key Internet Society (ISOC) functions:
    • Act as the Operations Team and Foundation budget manager, responsible for expense tracking, cash projections, and collaborating with the Executive Director and Operations Director on mid-year forecasting and annual budget planning.
    • Monitor and report financial data to drive effective decision making.
    • Coordinate stakeholders in assessing alleged instances of grantee financial mismanagement.
  • Manage the Foundation’s project audits liaising with the Program Office, ISOC’s Finance team and external auditors.
  • Develop the Operations team goals, work plans, and track and communicate progress.
  • Establish the necessary support structures for future fundraising efforts that may include establishing legal, governance, and financial structures to access certain funding opportunities.
  • Anticipate and be responsive to changes in the Foundation’s environment.
  • Provide regular status updates to the Operations Director.
  • Other duties as assigned.

Desired Qualifications

Professional experience

  • Bachelor’s degree with at least 8 years of experience in operations preferably in a grant-making institution or nonprofit with a global scope.
  • Experience with the Fluxx Grantmaker system is preferred but not required.
  • Proven ability to handle confidential information with discretion.
  • Experience as a People Leader (manager).
  • Working knowledge of and desire to stay current on grants management best practices and best practices in practically applying Diversity, Equity, Inclusion, and Justice principles in all aspects of our work.
  • Have knowledge of accounting of various forms of charitable contributions.
  • Understanding fundamentals of U.S. tax law requirements of U.S. public charities, and specifically supporting organizations, is a strong plus.

  • Excellent interpersonal, written, and verbal communication skills in English is required.  Additional languages such as Spanish or French will be considered a plus.
  • Communicate in a culturally appropriate and inclusive manner.
  • Exceptionally motivated, organized and detail oriented.
  • Ability to travel occasionally; and
  • Passion for, and demonstrated commitment to, a more accessible and trustworthy Internet for all.
