Responsibilities

The Contracts Administrator works in support of the missions of our fiscally sponsored organizations (FSOs) as well as TSNE as an organization, in a dynamic, fast-paced and team-based environment. The Contracts Administrator plays a critical role as part of the TSNE team providing broad customer service coordination and is often the first point of contact for the Legal Department. The Contracts Administrator must be tech savvy and customer service oriented, and able to prioritize and re-prioritize as needs require. The Contracts Administrator works with TSNE staff to meet the evolving needs of social justice initiatives housed at TSNE.

Essential Functions

Contracts – 75%

  • Consistent with TSNE protocols, provide day-to-day contract administrative support, preliminary drafting, negotiation and legal review.
  • Support, and administer the approvals and signature process for a high volume of contracts;
  • Keep organization-wide contracts updated in Salesforce and related systems and monitor data quality;
  • Review, update, and add protocols and workflows as appropriate with an eye on consistency and standardized processes;
  • Monitor contract deadlines, renewal dates, and other important milestones. Collaborate with the legal team to ensure timely action on contract-related matters;
  • Supports in generating reports and summaries of contract status, compliance, and any outstanding issues for review;
  • Work with the Compliance Specialist on an as needed basis to file and maintain various state registrations and filings and file lobbying reports as requested.

Systems and Database Management – 10%

  • Keep organization-wide contracts updated in Salesforce and related systems and monitor data quality;
  • Support and participate in the development of ongoing written guidance and trainings for staff related to contracts processing and management;
  • Maintain and update contract-specific sections of internal online knowledge database;
  • Partnering with other departments, play lead role in selection and implementation of contract-management systems and development of guidance, workflows and related processes;
  • Work with Compliance Specialist and volunteer management system to distribute and manage collection of FSO Advisory Board Agreements and Conflicts of interest;
  • Assist in conducting compliance audits to ensure that the organization fulfills its contractual obligations and remains in compliance with legal and regulatory requirements.

Communications and Relationships – 15%

  • Support communications and outreach with existing FSOs regarding team updates, project materials, etc.;
  • Draft routine correspondence related to contracts, including notifications of renewals, amendments, and other as needed;
  • Communicate with vendors, partners, and internal stakeholders regarding contract-related matters, clarifications, and routine updates;
  • Provide regular reports to the legal team, summarizing contract status, compliance, and any outstanding issues.

  • Four years’ nonprofit client services experience;
  • Contracts/amendments management, preferred;
  • Highly experienced with MS Office applications (Word, Excel, PowerPoint) and CRM programs;
  • Able to manage and organize multiple projects while paying close attention to detail;
  • Excellent customer service skills;
  • Ability to pick things up quickly;
  • Excellent written and verbal communication skills including fluency in English are required;

Physical Demands/Work Environment

The physical demands described for this position are that of a typical office environment. Reasonable accommodations will be made to enable individuals with disabilities to perform the functions. Ability to sit and/or stand for extended periods of time in front of a computer screen is an essential aspect of the position. There may be a need to lift and/or move materials or equipment.

Location: Work will be performed between our office located at the NonProfit Center at 89 South Street, Suite 700, Boston, MA 02111 and your home office. This position is required to be on-site at least once per month and may require flexibility.

Schedule: This position is full-time at 37.5 hours per week and hours are flexible within reason.

Compensation and Benefits

Compensation: $73,437 annually, paid hourly at $37.66/hr.
