Job Description

Key Responsibilities

1. Day-to-Day Operations: Oversee the daily operations of both the Manhattan campus and Brooklyn meeting house, liaising with our 8 person facilities team to ensure that all facilities are well-maintained, safe, and operational. Works closely with the Director of Facilities to ensure all permits are filed.  

  2. Staff Supervision: Manage and supervise a five person and growing part-time technical, security and administrative staff, ensuring they are well-trained, motivated, and aligned with our values. Develop and implement training and resources for part-time staff to ensure effective day-to-day operations of our spaces.  

  3. Space Rentals: Our buildings are booked for a range of events including weddings, memorials and other community building activities.  Handle inquiries, bookings, and logistics for space rentals, ensuring that the spaces are prepared, available and staffed appropriately. Develop tools and systems to maximize efficiency and ensure event attendees and our community members are satisfied with their experience. Be on call to help troubleshoot at events, as needed.  

  4. Operational Efficiency: Develop, implement and maintain operational procedures and protocols to ensure efficiency and consistency across both venues. Provide project management support for various NYQM initiatives, as required by the Executive Director.  

 5. Stakeholder Communication and Partner Engagement: Act as the primary point of contact for internal and external stakeholders regarding operational matters, addressing concerns and feedback promptly. Ensure rigorous communication with Quarterly and Monthly meeting committees. Interface with partner organizations like Friends Seminary, serving as primary liaison to partner organizations.   

Additional Requirements:

The Senior Operations Manager will work on-site about 80% of the time and will be asked to work some nights and weekends as event schedules demand. There will also be times where the Senior Operations Manager will need to be on call in case troubleshooting is required for an event. The Senior Operations Manager will be able to work remotely one day a week.

- Bachelor's degree or equivalent experience in operations management, business administration, or a related field.

- Minimum of 5 years of experience in operations and events management, preferably in a historic or cultural venue.

- Strong organizational skills.

- Proficiency in Google Workspace, Slack, and modern project management tools.

- Excellent communication and interpersonal skills.

- Ability to work independently and make decisions under pressure.

- Familiarity with Quakers and NYC a plus
